This page explains what information Headwaters Steam LLC ("Headwaters Steam") collects when you use headwaterssteam.com, call or text us, or book a service, and how it's used.

Our promise: we will never sell your personal information to anyone, for any reason. We don't share it with data brokers, marketers, or anyone beyond the services we need to run your appointment.

1. What we collect

When you request an estimate or book a service, we collect what you give us: your name, phone number, email, service address, and any notes or photos about the space being cleaned. If you call or text our business line, we keep a record of that conversation so Andrew can follow up. With your knowledge, we may record a short walkthrough at the start of your visit to confirm the areas and items being cleaned. Like most websites, our hosting provider automatically logs basic technical data (such as IP address and browser type) to keep the site secure and working.

2. How we use it

To calculate your estimate and confirm your appointment
To create your booking on our calendar and send you a confirmation
To contact you about your appointment by text, call, or email, based on what you choose
To prepare for your visit, for example using your photos to bring the right equipment and products
To protect the website from spam and abuse
For our own bookkeeping and tax records

3. Who we share it with

We don't sell or rent your information. We only share what's needed to run the business, with service providers that are required to protect it:

Website hosting
Calendar, email, and document services, to schedule and manage appointments
Text messaging and email delivery services, to send messages about your appointment
An AI phone assistant, which answers calls when Andrew isn't available and helps with scheduling. Calls handled by the assistant may be recorded or transcribed.
Payment processors, when you pay by card
Authorities, only when required by law (for example, a valid legal request)

4. Text messages

We text you only if you check the text consent box when booking, or if you text us first. Texts are about your appointments only: confirmations, reminders, rescheduling notices and receipts, typically 2 to 4 per booking. Message and data rates may apply. Consent is not a condition of purchase. Reply STOP at any time to opt out, or HELP for help. We do not sell, rent, or share your mobile number or text opt-in consent with any third party or affiliate for their marketing purposes.

5. Photos

Photos you upload when requesting an estimate are used only to prepare for your visit. We may separately ask permission to use before and after photos of a completed job for marketing (see our Terms of Service, Section 13). We'll never use a photo that identifies your address or includes you personally without asking first.

6. How we protect it

We use reasonable safeguards, such as password-protected accounts, limited access, and secure connections, to protect your information. No method of sending or storing data online is 100% secure, but we work to keep your information safe.

7. How long we keep it

We keep booking records as long as needed for scheduling, re-clean requests, and our tax and business records.

8. Your choices

You can ask us to see, correct, or delete the information we have about you at any time. Just reach out using the contact information below. If you no longer want texts or emails from us, tell us and we'll stop.

9. Children

Our services are for adults. We don't knowingly collect information from children under 13.

10. Changes to this policy

We may update this policy from time to time. The date at the top of this page shows the latest version.
