Terms of Service

These terms cover carpet, upholstery, rug, and mattress cleaning services booked through headwaterssteam.com or directly with Andrew at Headwaters Steam ("we," "us"). By booking a service, you ("customer," "you") agree to the terms below.

1. Estimates & final pricing

Prices shown on the site and in your booking confirmation are starting estimates based on the information you provide. The final price is confirmed on-site before work begins, after a quick visual inspection. If the scope turns out to be larger than described (for example, more heavily soiled than expected, additional rooms, or furniture that needs moving), we'll tell you the adjusted price and get your OK before proceeding — we won't run up a bill without your agreement.

2. Scheduling, rescheduling & cancellations

  • We ask for at least 24 hours' notice to reschedule or cancel an appointment whenever possible.
  • Repeated last-minute cancellations or no-shows may require a deposit for future bookings.
  • Arrival windows are estimates; on-the-day traffic or a prior job running long can occasionally shift timing. We'll text or call if we're running behind.

3. Property access

You're responsible for providing safe, reasonable access to the areas being cleaned (keys, gate codes, or being present) at the scheduled time. If we can't access the property and haven't heard from you, the visit may be treated as a late cancellation.

4. Furniture & clearing the area

We'll move light furniture (chairs, small tables, that kind of thing) at no extra charge. For safety reasons, we don't move heavy or fragile items — beds, dressers, entertainment centers, china cabinets, pianos, or similar — and will clean around them instead unless other arrangements are made in advance. Please clear small, fragile, or valuable items (electronics, breakables, personal documents, loose jewelry, etc.) from the work area before we arrive; we're not responsible for items left in the space.

5. Pets & children

For everyone's safety, we ask that pets and children not be present in the work area while we're cleaning. Hot water extraction equipment and cleaning solutions aren't something we want a curious pet or child near. If we arrive and this isn't possible, we may need to skip that area or reschedule.

6. Pre-existing conditions, hidden damage & delicate materials

We'll always give you our honest read before starting. That said:

  • Pre-existing wear, fraying, color loss, sun-fading, poor installation, or damage to carpet, upholstery, or rugs is not caused by our service and isn't something we can repair or reverse.
  • Cleaning can occasionally make old wear, stains, or damage more visible than it appeared when hidden under dirt — this is the true condition being revealed, not new damage from our work.
  • Wool, silk, jute, sisal, antique, or otherwise delicate/natural-fiber rugs and upholstery need special handling and carry more inherent risk in wet cleaning (color bleeding, shrinkage, texture change). Please tell us in advance if you have any of these so we can plan the right approach — or skip that piece — together.
  • Carpet that's poorly installed, poorly stretched, or has weakened backing may ripple, buckle, or shift during cleaning; this is a pre-existing installation issue, not something we cause.
  • Drying times (typically 4–8 hours) vary with humidity, airflow, and fiber type; walking on damp carpet can re-soil it faster, so we recommend keeping the area clear until dry.

7. Stain removal & treatment limitations

We treat every stain we can identify, but full removal can't be guaranteed for all of them. Some are permanent regardless of method or effort — this includes stains from bleach, acid, permanent dye or ink, and pet urine that has set for a long time and reached the backing or subfloor. Deep-set or old stains may lighten noticeably without fully disappearing.

8. Our re-clean promise

If something about the result doesn't look right, tell us within 3 days of the visit and we'll come back to take another look and re-treat the area at no extra charge. This doesn't apply to the permanent or pre-existing conditions described in Sections 6 and 7 above, which no cleaning process can fully undo.

9. Right to decline or pause service

We may decline, pause, or reschedule a job if we encounter something unsafe or outside the scope discussed — for example biohazards, pest infestation, structural hazards, or an unrestrained aggressive animal. We'll always explain why and work with you on next steps rather than just walking away.

10. Payment

Payment is due at the time of service, once the work is complete. We accept Zelle, Venmo, Cash App, Apple Cash, personal check, and cash; card payment is coming soon. Because payment happens after the job is done rather than at booking, cancellations don't carry a fee — but repeated last-minute cancellations or no-shows may require a deposit before we schedule future visits (see Section 2).

11. Liability

We carry general liability coverage for our work. We are not responsible for damage caused by pre-existing conditions (Section 6), permanent staining (Section 7), items not disclosed to us before service, valuables or fragile items left in the work area (Section 4), or circumstances outside our control. If something goes wrong on our end, tell us right away — we'd rather make it right than have you walk away unhappy.

12. Photos

We may take before/after photos of the work area for our own records and, occasionally, for marketing (website, social media). We won't use photos that include people, personal items, or anything identifying your address without asking you first.

13. Governing law

These terms are governed by the laws of the State of Montana.
