Terms of Service

Last updated: October 16, 2026. Headwaters Steam, Bozeman, MT

These terms cover carpet, upholstery, rug, and mattress cleaning services booked through headwaterssteam.com or directly with Andrew at Headwaters Steam ("we," "us"). By booking a service, you ("customer," "you") agree to the terms below.

1. Estimates & final pricing

Prices shown on the site and in your booking confirmation are starting estimates based on the information you provide. If what we find on site matches what you told us (the same rooms, furniture, and areas), the price stays exactly as estimated, no changes. Price adjustments only happen when there's a real inconsistency: for example, a large walk-in closet, an extra room that wasn't counted in your estimate, or a room over about 300 sq ft (28 m²), which counts as two rooms. We count by room, not by total floor area, so in an open floor plan each carpeted space that works as its own room, such as a living room and a dining area, counts separately. If that happens, we'll tell you the adjusted price and get your OK before proceeding. We won't run up a bill without your agreement.

2. Adding services during your visit

If you'd like to add something once we're already on site, such as an extra room, a piece of furniture, or a rug you hadn't mentioned, we're happy to help when time allows. Any addition is priced at our standard published rates; the pricing already agreed for the original job doesn't extend a discount to new requests. Before starting anything additional, we'll confirm whether we have time available that day, the added cost, and the new total, and get your OK before proceeding.

3. Scheduling, rescheduling & cancellations

  • You can reschedule or cancel online, at no cost, up to 12 hours before your visit, using the link in your confirmation. Online rescheduling is available up to 2 times per appointment; after that, text us.
  • Within 12 hours of your visit, please text us to change or cancel.
  • The day before your visit we'll send a reminder asking you to confirm (reply C, use the link in your confirmation, or confirm with us by phone). If we don't have your confirmation, we'll send a final notice and try to call you in the afternoon. A visit that is not confirmed by 6 PM the day before is canceled, and you can book a new time anytime.
  • If no one is available to let us in after we call, text, and wait 15 minutes at the property, the visit is canceled and you can book a new time.
  • There are no rescheduling, cancellation, or missed visit fees. Payment is only due after the work is done.
  • We don't send automated messages between 6 PM and 6:30 AM (Mountain Time). Replies to messages you send us may arrive at any time.
  • Arrival windows are estimates, not guarantees. We build travel time into our schedule, but road conditions, traffic, or a prior job running long can occasionally shift timing. We'll text or call as soon as we know we're running behind.

4. Property access

You're responsible for providing safe, reasonable access to the areas being cleaned (keys, gate codes, or being present) at the scheduled time. If we can't access the property after waiting 15 minutes and trying to reach you by phone and text, the visit is canceled as described in Section 3. The same applies if the service address you gave us is wrong and wasn't corrected before the visit.

5. Furniture, personal items & clearing the area

Please have the areas being cleaned clear of furniture, clothing, and other belongings before we arrive. Clearing the space is the customer's responsibility, not part of our service. If a few light items need to be set aside, we're glad to help: we move up to 5 light items per room (such as toys, books, small kitchen items, decor, or a chair) if there is a place to put them. We do not move larger amounts of items, and items in bags, boxes, containers, or stacks stay where they are, whatever they contain. We do not move tables, sofas, heavy chairs, desks, cabinets, containers, or other heavy furniture; moving those, if needed to access an area, is the customer's responsibility, and we're not responsible for any damage caused while you move your own furniture.

If items can't be cleared, we clean only the areas our equipment can reach, and the price reflects the area cleaned. Please also clear small, fragile, or valuable items (electronics, breakables, personal documents, loose jewelry, etc.) from the work area before we arrive. Items left on or near wet areas can be damaged by water, steam, or cleaning products, and we're not responsible for items left in the space.

6. Pets & children

For everyone's safety, we ask that pets and children not be present in the work area while we're cleaning. Hot water extraction equipment and cleaning solutions aren't something we want a curious pet or child near. If we arrive and this isn't possible, we may need to skip that area or reschedule.

6b. Extended drying (air movers left in your home)

When you add extended drying, we leave a set of 2 air movers in up to 2 rooms for each set you book, and pick them up the same evening (7 to 8 PM) or the next morning, at a time we agree on. The equipment is your responsibility until pickup. Please keep children and pets away from the units and cords, and don't move them. Someone should be home at pickup. If no one will be home, leave the units in an agreed place that is covered and protected from rain and snow, or give us a garage code. If a unit is lost or damaged while in your home, its replacement cost is charged. Extended drying is $40 per set in Bozeman, Belgrade, Four Corners and Gallatin Gateway and $60 per set in other areas. More sets are available on request, depending on equipment availability.

7. Pre-existing conditions, hidden damage & delicate materials

We'll always give you our honest read before starting. That said:

  • Pre-existing wear, fraying, color loss, sun-fading, poor installation, or damage to carpet, upholstery, or rugs is not caused by our service and isn't something we can repair or reverse.
  • Cleaning can occasionally make old wear, stains, or damage more visible than it appeared when hidden under dirt. This is the true condition being revealed, not new damage from our work.
  • Wool, silk, jute, sisal, antique, or otherwise delicate/natural-fiber rugs and upholstery need special handling and carry more inherent risk in wet cleaning (color bleeding, shrinkage, texture change). Please tell us in advance if you have any of these so we can plan the right approach, or decide together to skip that piece.
  • Carpet that's poorly installed, poorly stretched, or has weakened backing may ripple, buckle, or shift during cleaning; this is a pre-existing installation issue, not something we cause.
  • Older or heavily worn rugs and carpets often have loose fibers that come out during cleaning, especially when the fibers are agitated. This shedding is normal for aged fibers and is not damage caused by the cleaning. We'll point it out before we start, and we may use gentler agitation on older pieces.
  • Drying times (typically 4–8 hours) vary with humidity, airflow, and fiber type; walking on damp carpet can re-soil it faster, so we recommend keeping the area clear until dry.

8. Stain removal & treatment limitations

We treat every stain we can identify, but full removal can't be guaranteed for all of them. Some are permanent regardless of method or effort. This includes stains from bleach, acid, permanent dye or ink, and pet urine that has set for a long time and reached the backing or subfloor. Deep-set or old stains may lighten noticeably without fully disappearing. A stain that doesn't fully come out isn't grounds for a discount or withheld payment for the cleaning itself, which is billed in full. If a heavy stain treatment does not remove the stain, we remove that treatment fee on request. Our fee covers the labor, time, equipment, and the most effective products available for the job, not a guaranteed result on every stain. Our re-clean promise is one return visit. We may decline further treatment on a stain if more attempts could damage the carpet or fabric.

9. Our re-clean promise

If something doesn't look right, let us know within 48 hours of your visit. We'll come back within 3 business days to re-clean the areas you reported, at no charge. If none of our available times in that window work for you, we'll find the next opening together. This covers the areas reported only, one return visit per job, and doesn't apply to the permanent or pre-existing conditions described in Sections 7 and 8.

10. Right to decline or pause service

We may decline, pause, or reschedule a job if we encounter something unsafe or outside the scope discussed, for example mold, biohazards, human or animal waste, sharp objects, pest infestation, structural hazards, or an unrestrained aggressive animal. We'll always explain why and work with you on next steps rather than just walking away. If we stop or decline a job for these reasons, we charge only for the work completed, if any.

11. Payment

Payment is due at the time of service, once the work is complete. We accept cash, Zelle, Venmo, credit and debit cards, and personal check, with no surcharge or processing fee on any payment method. Cash or Zelle is preferred. Payment happens after the job is done; there are no booking, rescheduling, or missed visit fees.

12. Liability

We carry general liability coverage for our work. We are not responsible for damage caused by pre-existing conditions (Section 7), permanent staining (Section 8), items not disclosed to us before service, valuables or fragile items left in the work area, or furniture the customer moves themselves (Section 5), or circumstances outside our control. If something goes wrong on our end, tell us right away. We will review what happened and work with you toward a fair solution, including through our insurance where it applies.

13. Photos

We take before/after photos, and sometimes a short video of the work area when we arrive, to record its condition and protect both of us. We may also use photos, occasionally, for marketing (website, social media). We won't use photos that include people, personal items, or anything identifying your address without asking you first.

14. Governing law

These terms are governed by the laws of the State of Montana.

15. Commercial & property management partner accounts

Approved property management and commercial partner accounts are governed by our separate Partner Terms, in addition to the sections above.

16. SMS terms

Program: Headwaters Steam LLC ("Headwaters Steam") sends text messages about your appointments: confirmations, day-before reminders, rescheduling and cancellation notices, and receipts. We don't send marketing or promotional texts.

Opt-in: you agree to receive these texts by checking the text consent box on our booking form, or by texting us first. Consent is optional and is not a condition of purchase. If you don't opt in, we'll use email instead.

Frequency: message frequency varies, typically 2 to 4 messages per booking. Message and data rates may apply.

Opt-out and help: reply STOP to any message to opt out. You'll get one final confirmation and no further texts unless you opt in again. Reply HELP for help, or contact us at (406) 600-3321.

Carriers are not liable for delayed or undelivered messages. We do not sell, rent, or share your mobile number or text opt-in consent with third parties for their marketing purposes. See our Privacy Policy.

16b. Referral program

Anyone can join our referral program at headwaterssteam.com/refer.html, customer or not. A friend who books with your link or code and is a new customer gets $20 off that first cleaning. When that cleaning is completed and paid, you receive $20 in credit for each new friend.

A referral code is valid for 6 months after it is generated. It renews for 6 more months each time one of its referrals earns a credit, and by asking for your link again on the referral page. About two weeks before a code stops working we send one text or email, with a one-tap link to keep it going; if you do nothing, the code simply ends, and you can turn the same code back on any time on the referral page. Who counts as a new customer: someone with no earlier completed service under the same phone number or email, and at a home with no completed service in the last 10 months. Different units in the same building are different homes. If you have just moved into a home we cleaned before, tell us and we will confirm you as new. Each new customer gets the discount once, however many visits are booked, and the code must be given before the service starts, not afterward. If we find at the visit that the discount does not apply, we remove it and the referrer does not receive a credit. The program does not apply to your own home or household. Property management partner accounts are not part of the program.

Discounts and credits can be used on any Headwaters Steam cleaning service. They are not cash, have no cash value, cannot be paid out, and cannot be transferred to another person. Credits belong to the person who earned them and are applied to that person's services at payment.

One offer per service. A service can use one benefit only: a promo code, a friend's $20 discount, or referral credits. Offers cannot be combined. You may choose the one that gives the larger discount before the service starts; if no choice is made by then, the price agreed in your estimate applies, with or without the discount shown there. The discount or credit is taken off the price, and credits can cover the whole price of a service.

Credits add up and can be used on as many services as you like. A credit that is only partly used keeps its remaining balance and its expiry date. Each credit expires 12 months after it is earned, and we send a reminder about a month before any credit expires. One person can hold up to $240 in credits at a time. While the balance is at the maximum, credits from new referrals wait and are added when there is room, and the friend still gets the discount.

If a service is refunded, or its payment is reversed or disputed, the discount and the credit earned from it can be reversed. We may end or change the program at any time; credits already earned stay valid until they expire. We may cancel credits obtained through misuse, such as self referrals, fake accounts or several accounts for the same household.
